We’ re looking for a Front Office Manager at the headquarters of a Biomedical company to provide front desk reception and administrative support to the CEO and senior level staff. This individual will be responsible for projecting a professional company image while ensuring the office is running smoothly and efficiently.   Qualifications:
  • 3 - 5 years of relevant administrative experience
  • Bachelor’ s degree preferred but not required
  • Proficient with Microsoft Office Applications
  • Comprehensive understanding of daily office operations
  • Notary certification (or willingness to obtain) is a plus
  • Composure, discretion, and sound judgment
  • Outstanding verbal, written, and interpersonal skills
  • Organizational and problem solving skills
  • Attention to detail, and the ability to prioritize
  • Effectively coordinates CEO' s calendar and travel schedule
  • Manages communication related to meetings, conference calls, event planning, and interviews
  • Creates PowerPoint slides, based on concepts and business plans when requested
  • Supports senior level staff with administrative support
  • Supports employee travel arrangements
  • Assist with finance, accounting, benefits administration, and contract filing as needed
  • Ensure legal documents are routed for proper signature, returned, and filed as necessary
  • Greeting visitors and answering phones, screening and directing calls
  • Ensure that reception area is neat, clean, and professional looking
  • Ordering office/kitchen supplies for two locations, maintaining inventory and managing costs
  • Assist with company-wide events, in-office celebrations, and catering needs
  • Manages regular and overnight mail services, both domestic and international
