A Financial Firm is hiring a Front Office Administrator! This role will be responsible for coordinating front and back office activities, and provide administrative support including note taking and preparing materials for meetings and events. Contract to hire, 40k yearly.


  • Manage the front reception area
  • Ensure effective and professional telephone and mail communications
  • Coordinate meetings, travel, and expense reporting for senior team
  • Prepare materials and packages for internal and external meetings as needed, as well as taking notes
  • Track and manage office supplies, stationery, groceries and equipment, and liaise with vendors
  • Day-to-day facilities operations; issuance of building access keys, security codes, handling incoming and outgoing mail, coordination of equipment, IT, and maintenance requests for copiers, printers, postage machines
  • Process and reconcile month-end credit card statements in partnership with Accounting team
  • Assist with on-boarding new staff, administering benefits, completing personnel files, setting up workspaces, ordering equipment and business cards, and updating directories


  • 1 – 3 years of administrative experience
  • Prior experience providing support to senior professionals is preferred
  • Advanced proficiency with Microsoft Office, Word, Excel, and PowerPoint
  • Outstanding organizational skills, accuracy and attention to detail and the ability to multitask
  • Written and verbal skills with strong grammatical, proofreading, typing and note taking skills
  • Ability to work independently, and use discretion
  • Excellent interpersonal skills, including a pleasant positive demeanor and a proactive approach
