We’ re looking for an Executive Assistant to support the Vice President of Human Resources at a Boston based investment company. We are looking for someone articulate, smart, and polished with a high level of skill. Responsibilities include coordinating executive level recruitment, events, program management, and other strategic, high visibility efforts.   Responsibilities:
  • Provide administrative support to the VP of HR and HR Team
  • Mail Distribution, Faxing, file scanning, and photocopying
  • Heavy calendar management for both the VP of HR and HR team members
  • Coordinate travel arrangements, department meetings, conference rooms, and catering services
  • Organization of large scale company events
  • Maintain and update HR’ s internal site
  • Prepare expense reports and documentation for HR meetings
  • Coordination and approval of HR documents
  • Reception desk coverage during lunch on a rotational basis
  • Manage employee life changing events (sending flowers, baskets, etc.)
  Requirements:
  • Bachelor’ s degree
  • 3 to 5 years of relevant experience
  • Willingness to work extended hours
  • Proficiency with Microsoft Word, Excel, PowerPoint and Outlook Calendar management
  • Knowledge of SharePoint and Publisher is a plus
  • Sound judgment and discretion, exuding the highest level of professionalism
