Position Overview:
  • Coordinating domestic and international travel arrangements
  • Providing travel itineraries and processing travel expenses using Concur
  • Serving as the initial point of contact for visitors
  • Coordinating meetings, events, and seminars
  • Assisting with preparing, editing and proofreading correspondence
  • Maintain system database for easy retrieval of files
  • Preparing forms for personnel transactions
  • Handling confidential payroll and financial information
  • Reviewing, reconciling, and monitoring multiple monthly account statements
  • Ensuring grant expenditures comply with established guidelines
  • Working closely with fiscal office in creating pre-proposal and post-proposal documents
  • Processing accounting documents (requisitions, vouchers, reports, payment requests, invoices)
  • Serving as VIP card approver, distributing mail, overseeing office space usage

 

Qualifications & Skills:
  • 3 years’ experience in administrative office support, Bachelor’ s degree is preferred
  • Proficient with Microsoft Office, Excel, Word, PowerPoint, Outlook, Adobe Acrobat
  • Knowledge of Simple Web publishing SAPWEB, Filemaker, and FileZilla preferred
  • Experience with accounting and grants management procedures and SAP strongly preferred
  • Strong administrative and organizational skills and discretion with confidential information
  • Excellent customer service and interpersonal skills and effective verbal and written communication
  • Ability to manage multiple tasks simultaneously, working independently and as part of a team
